The system assists with automated creation and processing of agreements, associated services to managing contract renewals, billing, sales reporting and search facilities. The system can be configured with contract document templates specific to the individual business with a variety of contract type. The contract viewer provides both current and historical overview of all contracts. Meeting, Conference and Event Support with room booking creation and recording of associated services such as catering, business equipment and other available resources. Bookings may be configured for hourly, daily and attendee rates and any agreed discounts for customers will be automatically applied. Special rates can be agreed by users with elevated permissions. The system assists with automated confirmations for printing and/or emailing to clients and billing for residents and non residents. Report generation with details of all meeting room bookings for a selected date, including room layout requirements, number of attendees, additional equipment and catering requests, providing valuable information to anyone involved in the preparation of meeting rooms or associated catering. The system has a real time availability diary overview.
AUTOMATED INVOICE GENERATION
Automated invoice generation covers all invoicing needs for rental and service invoicing (with the ability to import charging files from 3rd party systems for services such as Call Charges, Photocopying or other Point of Sale systems). Invoicing can also include charging produced by the meter readings. The system produces accurate invoice details and automatically calculate the amount to be invoiced. Includes a wide variety of itemisation and calculation algorithms including Landlord quarter days, annual daily rates and composite line configurations. Quick and easy issue of Deposit Invoices and Credit Notes where required.
SALES FINANCIAL MANAGEMENT
Sales financial management such as Debtors and Credit Control, Statements and reminder letters. This feature provides detailed itemisation of all the sales, payments, expenses, budget and inventory. The system enables credit control by viewing outstanding transactions on the customer’s account along with the date of the last payment received. A breakdown on the current debtor situation across the entire business can also be generated. The system can also be configured to export sales transaction information to 3rd party accounting packages such as Sage, Xero and Quickbooks etc.
